Mechanics of Program Scheduling
1. Complete a Schedule Request Form:
- Consult with your faculty advisor as you plan your complete fourth-year program.
- Make sure all graduation requirements are fulfilled.
- If you are applying for an extramural clerkship, enter a temporary course ID number of the department abbreviation (e.g. MED, OBG, SUR, etc.) followed by "999". This will be replaced by the actual course registration when the extramural has been finalized.
- NOTE: The following courses require a faculty signature on your Schedule Request Form for enrollment in certain periods: MED 870 Acting Internship in Medicine; ER 843 Emergency Medicine; SUR 854 Urology; and NSG 864 Neurosurgery. See the course descriptions for details.
2. Approval by Faculty Advisor:
Your entire program must be reviewed with the faculty advisor who in turn must sign the Schedule Request Form indicating approval. Written comments may be included as justification for the proposed program.
3. Return the Signed Schedule Request Form to the Registrar by Tuesday, March 11, 2008.
4. Resolution of Scheduling Conflicts:
Some courses will be over-enrolled during certain periods. The information will be posted and students will have a designated time in which to make schedule changes to alleviate over-enrollments. After that process, over-enrollments will be resolved via a lottery held at an open class meeting on
Tuesday, April 1, 2008. Students who are removed from courses via the lottery will need to revise their schedules.
5. Student Progress and Promotion Committee Review and Approval:
The schedules will be reviewed by the SPPC at their April meeting. The Committee will consider the total program in relation to past student performance. If disapproved, the student will need to develop alternate choices with the assistance of the advisor, Student Affairs or any faculty member designated.
6. Schedule Changes Following SPPC Approval:
Should it become necessary to modify an approved program, the student must obtain permissions from the departments of both the course being dropped and the course being added.

All schedule changes must be initiated at least four weeks before the start of the rotation period. See Key Dates for exact dates.

To initiate a schedule change, see Beth Hartmann, registrar. She will confirm availability of the new course, be sure graduation requirements are still met in the revised schedule, and provide you with a Change of Clerkship form on which to obtain departmental signatures.

Obtain the appropriate signatures on the Change of Clerkship form and return the form to the Registrar within one week.

Review your revised schedule for accuracy following any schedule changes.
The only exceptions to the Change of Clerkship deadlines that will be considered by the assistant dean for Student Affairs are:
- Difficulty with arrangements for an extramural or late notification of acceptance in an extramural for which application was made in a timely manner, or
- Serious illness or family emergency.
7. Payment of Tuition
Tuition payment is due no later than Friday, August 22, 2008 for Fall Semester and Thursday, January 22, 2009 for Spring Semester. These deadlines apply regardless of where a student might be completing a rotation. Tuition unpaid by the deadline will incur interest charges per university regulation.
